Most "ChatGPT alternative" articles list fifteen tools, rank them by feature count and tell you nothing about the four things that actually matter when you are buying seats for a team. This post covers six alternatives, each with a position taken, and compares them on the questions a business owner needs to answer before signing an annual contract.
Four things the listicles never compare
If you search "chatgpt alternative" today, you will find affiliate listicles comparing chatbot features. Features change every month. The structural questions that determine whether a tool is safe and practical to deploy in a business do not.
1. Whether your inputs are used for training
Every AI vendor has a different default. On ChatGPT's free and Plus plans, your conversations are used to improve OpenAI's models unless you toggle it off in Settings5. On Claude's free and Pro plans, training is opt-in and off by default since mid-20262. If your team pastes client data into a tool that trains on it by default, you have a privacy problem and you may not know it exists. An AI policy that names your approved tools and sets data rules is the minimum responsible step.
2. Admin controls and seat management
A business with more than one person using an AI tool needs central billing, the ability to add and remove users, and ideally SSO so employees do not create personal accounts with company data. Not every tool offers this, and the ones that do often lock it behind a higher-priced tier. If nobody controls who has access, you do not have a tool. You have a liability.
3. Where the data is processed
Australian Privacy Principle 8 requires you to take reasonable steps to ensure an overseas recipient handles personal information in line with the APPs12. Most AI tools process data in the United States. Microsoft 365 Copilot is the notable exception: if your M365 tenant is provisioned in Australia, your data stays in the Australian datacentre region6. For everyone else, the question is whether you can live with US processing or whether you need to keep data onshore.
4. Cost per seat at real team sizes
A tool that costs US$20 a month for one person costs US$500 a month for twenty-five. The per-seat price, whether annual billing is required, and whether there is a base fee on top of the seat cost all matter. We compare the real monthly cost at five and twenty-five seats below.

Claude
Claude is built by Anthropic and accessed through claude.ai, desktop apps, mobile apps or an API. It is the strongest option for long-document work: a 200,000-token context window on all plans, or 500,000 on Enterprise (roughly 150,000 to 375,000 words), means you can paste an entire contract, tender document or compliance report and get a structured summary back1. Code generation and careful, instruction-following reasoning are its other genuine strengths.
The Team plan costs US$20 per standard seat per month on annual billing, or US$25 on monthly billing1. Admin controls include SSO, central billing and a workspace where conversations are not used for model training by default2. Data is processed in the United States. There is no Australian region through the standard claude.ai interface. If your organisation accesses Claude through the API on AWS Bedrock, you can route inference to the AWS Sydney region (ap-southeast-2), which keeps prompts and responses in Australia, but that requires a developer to set up3.
The weakness is integrations. Claude does not sit inside your email client, your spreadsheet or your project management tool the way Copilot does. It is a standalone interface, and the value it delivers depends on your team actually opening it and pasting work in. Verdict: Best if your team's bottleneck is reading, writing and reasoning over long documents, and you do not need deep integration with Office or Google apps.
Gemini with Google Workspace
If your business already pays for Google Workspace, you already have Gemini. It is included in every Workspace tier, from Starter through Enterprise, with more capable access as you move up the plans7. On Standard and above, Gemini works inside Gmail, Docs, Sheets, Slides, Drive, Meet and Chat. You do not need to buy a separate AI subscription or ask your team to learn a new interface.
Google does not use Workspace customer data to train Gemini models8. Admin controls are whatever you already have in the Google Admin console: user management, DLP policies, audit logs and the ability to enable or disable Gemini features by organisational unit. Existing Workspace security controls automatically apply to Gemini interactions.
The data residency picture is less clear than it looks. Google Workspace data regions for Gemini currently support the US and EU only, and only on Enterprise Plus and Frontline Plus editions9. Australia is not a supported Gemini data region, even if your Workspace tenant is provisioned in Australia. Your regular Workspace data (email, documents) follows your tenant's residency settings, but Gemini AI processing does not.
Verdict: The obvious first choice if your business is already on Google Workspace. Not worth buying a Workspace subscription for Gemini alone.
Microsoft 365 Copilot
Copilot is the only alternative that works natively inside Word, Excel, PowerPoint, Outlook and Teams. If your business already runs on Microsoft 365, Copilot turns every Office application into an AI-assisted tool without asking anyone to learn a new interface. That structural advantage is something no standalone chatbot can match.
The Copilot add-on costs US$18 per user per month on annual billing through December 2026 (discounted from US$21), and requires a qualifying M365 licence. If you do not already have M365, the bundled M365 Business Standard with Copilot package is US$23.50 per user per month on annual billing6. Microsoft states that Copilot does not use customer data to train foundation models6.
The data residency position is the strongest of any tool on this list. If your M365 tenant is provisioned in Australia, your data stays in the Australian datacentre region. For a business that handles personal information under the Privacy Act and wants to keep AI processing onshore, this is the path of least friction.
The trade-off is that Copilot is best at making Office better, not at general-purpose AI work. If you need to process a 100-page document, write code or do open-ended research outside the Microsoft ecosystem, a standalone tool like Claude or ChatGPT will do those jobs more effectively.
Verdict: The right choice if your team lives in Microsoft 365 and you want AI that works where they already work, especially if Australian data residency matters.
Perplexity
Perplexity is an AI-powered research tool, not a general-purpose chatbot. Its strength is answering factual questions with inline citations, so you can see where the information came from and check it yourself. For a business that needs research, competitor analysis or market intelligence, the output is immediately useful because the sources are visible.
The individual Pro plan costs US$20 per month. The Enterprise Pro plan, which is the tier with admin controls and data privacy protections, costs US$40 per seat per month or US$400 per seat per year10. Enterprise data is not used for model training10. You can mix Pro and Max seats in one organisation, and seats are movable between team members. Enterprise plans include SSO, central billing and seat management10.
At US$40 per seat, Perplexity Enterprise is twice the cost of Claude Team or ChatGPT Business for the standard AI functionality. The premium buys you cited research, not general-purpose writing or analysis. If your team does not do research-heavy work, the premium is hard to justify. Data is processed in the United States with no Australian region available.
Verdict: Worth it if your team's primary need is research with verifiable sources. Expensive and narrow for general business use.
Mistral Vibe (formerly Le Chat)
Mistral Vibe (rebranded from Le Chat in May 2026) is built by Mistral AI, a French company. For a business that cares about European data processing, Mistral has a structural advantage: it is an EU-headquartered company operating on EU infrastructure, with GDPR as the regulatory baseline rather than a compliance overlay11.
The Pro plan costs US$14.99 per month for individuals. The Team plan costs US$24.99 per user per month11. Enterprise plans offer SAML SSO, audit logs, custom models and white-label options at custom pricing. The Team plan includes domain verification and data export, but SSO is only available on Enterprise.
On the free plan, Mistral uses your conversations for model training by default, with an opt-out available in the admin panel. On Pro plans, training is also enabled by default unless you opt out13. Enterprise plans exclude your data from training by default. This is a notable difference from Claude Team and ChatGPT Business, where the business-tier plan itself turns off training by default.
The model ecosystem is smaller than ChatGPT's or Claude's. Fewer third-party integrations, a smaller community and less documentation in English. Mistral's models (including Mistral Medium 3.5 with a 256,000-token context window11) are capable, but the broader ecosystem of extensions and plugins that surrounds ChatGPT or Claude does not exist here yet.
Verdict: The strongest option if EU data processing is a priority. The lack of training-off-by-default on Team plans, and no SSO below Enterprise, makes it a harder sell than Claude or ChatGPT for a small Australian business.
Self-hosted with Ollama
Ollama is a free, open-source tool (MIT licence) that runs large language models on your own hardware14. It installs on macOS, Linux and Windows, and gives you access to models like Llama 3.3, Mistral, Gemma and Qwen that run entirely on your machine. Nothing you process ever leaves your computer. Ollama's own privacy policy states plainly: "We do not collect, store, transmit, or have access to your prompts, responses, model interactions, or other content you process locally"15.
For a business that genuinely cannot send data outside its own network, whether for regulatory reasons, contractual obligations or because the data is too sensitive to risk, this is the only option on this list that solves the problem completely. No vendor sees your prompts. No terms of service govern your data. It is yours.
The trade-offs are real. Local models at the sizes that run on standard business hardware (7 to 13 billion parameters, needing 8 to 16 GB of RAM) produce noticeably lower-quality output than GPT-4o or Claude Opus. They have no built-in web search, no third-party integrations and no admin console. Someone on the team needs to install it, keep it updated and troubleshoot when a model behaves unexpectedly. Running a larger model (70 billion parameters) needs a machine with at least 64 GB of RAM or a dedicated GPU, which is outside the range of a standard office computer14.
For a team that wants a chat interface, Open WebUI is a free, self-hosted frontend that sits on top of Ollama and provides multi-user support. LM Studio is a free desktop application with a visual model browser, usable for both personal and internal business purposes under its licence terms16.
Verdict: The right choice when the data cannot leave the building. Not a replacement for a cloud AI tool in general daily use.

Free tiers and what free costs you in data terms
Every tool on this list has a free tier or a free trial. It is tempting to let your team use them rather than pay for seats. Here is what free actually costs.

When the honest answer is to stay on ChatGPT
Sometimes the right move is not an alternative at all. If your team already uses ChatGPT, they know the interface, they have their prompts tuned, and the switching cost is not zero. Retraining twenty people on a new tool costs more than the subscription difference.
ChatGPT Business (formerly Team, renamed August 2025) costs US$20 per standard seat per month on annual billing, the same as Claude Team4. On the Business plan, your data is not used for model training by default. You get admin controls, SSO, domain verification and a workspace that is separate from personal accounts5.
If the reason you are looking for an alternative is that someone told you not to paste client data into ChatGPT, the answer might not be a different tool. It might be upgrading from the free tier to the Business plan, which turns off training by default and gives you admin oversight. That, plus an AI acceptable-use policy that tells staff what data can and cannot go in, solves most of the problem without changing anything else.
ChatGPT also has genuine advantages the alternatives do not match: image generation with DALL-E, a broader plugin and integration ecosystem, built-in web browsing and the largest selection of models. If your team needs those capabilities together, no single alternative covers them all.
